Please note: A sample letter can't replace competent advice but supports you in helping yourself.
 

Send the letter with proof of delivery, keep a copy of the letter and the delivery receipt of the mail service, so you can prove that the trader really received it. The letter should be done in a clear, polite and positive manner.

There are times where a trader may not be aware of the problem and an initial contact is all that is needed in order to sort everything out.
